Job Summary

Executive Assistant to the International Operations Director is responsible for assisting the International Operations Director in the performance of his mission and duties by providing administrative, communication, and organizational support.

He/she must be able to maintain complete confidentiality and serve as a communication liaison to various staff, partners, and outside organizations.

Essential Duties and Responsibilities:

The essential functions include, but are not limited to the following:

  • INTERNATIONAL OPERATIONS DIRECTOR: To help the International Operations Director maximize his time and effectiveness, the Executive Assistant helps the International Operations Director be 100% present, positive and productive in every encounter by preparing, executing, and following up on decisions and processes connected to their duties across the organization. Responsibilities include:
    • Shipping & Mailing
    • Meeting & Calendar Coordination
    • Data entry & Verification
    • Expense report and reimbursement submission
    • File Management
    • Event Planning and Execution
  • INTERNATIONAL OPERATIONS AND OFFICES: Work alongside of the International Operations Director to ensure offices are running smoothly and at full capacity. What we say we do in our field guide, our presentations, our documentation of our model, process, reporting, etc. should happen as we say it is in every place we work.
  • EMAIL MANAGEMENT: Manage the inbox of the IOD, ensuring timely responses to important email. Organizing emails and bringing them to the attending to the IOD as needed.
  • MEETING & CALENDAR COORDINATION: Take early initiative to confirm calendar and lead up tasks. Organize the different elements of the complex work involved in the office of the International Operations Director to enable cohesion and effective results for the organization. This includes the creating, storing, and sharing of critical documents and reports.
  • TRAVEL COORDINATION: Take early initiative to confirm travel plans, plan both domestic and international, including flight booking, hotel, ground transportation, visa applications, meal reservations, etc.
  • COMMUNICATION: Complete and communicate objectives, agendas, and action steps before and after every meeting the International Operations Director will participate in to proactively ensure all relevant people have details to be present and productive in every meeting.
    • Internal Communications: this involves getting our various offices, staff, leaders in regular communication so we are all on the same page and same understanding.
    • External Communications: Provide accurate monthly giving report and follow up communication strategy, regular partner communication (including bi-weekly emails, yearly gifts, etc.), media, and event preparations for yearly March With Us event, and GPW communication and preparations.
  • STRATEGIC PREPARATION: (for key initiatives and meetings) set up the International Operations Director to walk into the meeting and make the most important decisions without being preoccupied by prep details.
  • EXECUTION: Follow-up & follow through on strategic decisions from meetings. Be methodical in accomplishing big goals by setting early deadlines and following up to ensure progress.

Minimum Qualifications (Knowledge, Skills, and Abilities):

Education and Experience:

  • High school diploma or general education degree (GED) required. Associates Degree in related field preferred.
  • Minimum three years related administrative experience; nonprofit experience a plus.
  • Experience in the usage of computers required and advanced knowledge of web-based systems preferred.
  • Previous experience with fundraising/donor interaction preferred.
  • Previous experience with cross-cultural communication and interaction required.
  • Logistics and shipping experience preferred but not required.

Knowledge and Skills:

The IT Support Specialist is responsible for providing technical support and assistance to our staff and partners. This entry level role will also help support the team by managing IT assets. He/she will work closely with the IT Director in maintaining and troubleshooting our IT systems.

Essential Duties and Responsibilities:

The essential functions of the IT Support Specialist may include, but are not limited to the following:

  • IT Endpoint Support
    • Provide technical support and assistance to staff and clients via phone, email, and in-person.
    • Install, maintain, and troubleshoot hardware and software issues.
    • Set up and configure new computers, printers, and other peripherals.
    • Manage application support, including installation, updates, and troubleshooting.
  • IT Asset Administration
    • Maintain inventory of IT equipment and supplies
    • Work closely with IT Director to improve asset management processes and procedures.
    • Assist with maintaining a standardization of equipment to lower total costs.
    • Assist with purchasing IT assets that support business goals.
  • Web Development
    • Work closely with IT Director with web development projects (knowledge of coding helpful, but not necessary).
    • Assist with updating web pages to ensure site accuracy and currency.
    • Perform site security updates and audits, in collaboration with IT Director.
  • CRM Administration
    • Assist the IT Director in various CRM related projects.
    • Conduct training sessions and develop best practices documentation for propagating CRM knowledge throughout the organization, in collaboration with the IT Director.
