Travel Coordinator

Position Summary:

The Travel Manager is responsible for the travel and travel compliance needs for the TTI US Staff and Partners. This individual will also serve as overall coordinator for the travel needs for Vision trips (estimated to be up to 12 each year) and leadership development meeting trips. The Travel Manager will develop and manage a travel policy for TTI and find or create a solution to streamline the travel booking function to gain data driven insights on TTI US staff travel, ensure duty of care for travelers and manage annual travel expenditures for TTI.

Essential Duties and Responsibilities:

The essential functions include, but are not limited to, the following:

  • Works with the COO to coordinate the physical point to point travel needs for US staff (Domestic and International) and maintain location oversight of travelers during travel.
  • Works with the COO to perform the necessary actions to ensure all US TTI staff have visas, passports, vaccinations, hotels, ground transportation and other peripheral travel needs etc…. as needed for each TTI trip while observing regulatory parameters for the destination.
  • Works with the CDO to coordinate travel for all TTI Vision trips each year including holding all entry requirements (visas, vaccine info, immigration information, etc.) and work with a travel agent to book flights.
  • Works directly with VTC’s (field staff) to coordinate all aspects of International Vision Trips.
  • Oversees & implements all Vision Trip registrations, trip set up, communications, budget, transportation, entry requirements, safety protocol, materials, critical data collection and storage, and manages in and out finances for trip and maintains location of travelers during travel.
  • Develops and maintains cultural sensitivity and awareness for the various destinations for US staff.
  • Works with the COO to ensure the safety of US staff and partners by staying up to date on the many safety variables involved in cross cultural travel venues.
  • Works with the COO to research and implement a travel booking solution (platform or agency) to streamline the booking process to obtain financial and organizational data driven insights for travel and reduce the associated annual travel expenditures for TTI.
  • Works with the COO & CDO to research and implement TTI Travel policies and processes to serve the needs of the TTI stakeholders.

Minimum Qualifications (Knowledge, Skills, and Abilities):

Education and Experience:

  • Bachelor or Associates Degree in related field preferred.
  • Five Years or more related experience in a travel management role or equivalent combination of education and experience.
  • Experience in the usage of computers required and advanced knowledge of web-based travel related systems preferred.

Knowledge and Skills:

  • Able to prioritize and multi-task, using good time management skills in a fast-paced environment, Strong organizational skills a must.
  • Develop effective work plans, organize details, set priorities, and meet deadlines.
  • Ability to read and interpret documents such as procedure manuals, work instructions, software manuals; ability to write routine reports and correspondence.
  • Solid written and oral communication skills and excellent phone manners. Accountable for supporting, upholding, and engaging in TTI’s Vision, Values & Mission in all internal and external communication and relationships.
  • Administrative writing, reporting & tracking skills. Proficiency with spreadsheets, databases, and Word processing.
  • Ability to adapt to company wage and compensation structure.
  • Ability to work as part of a team and take direction from Senior Management and Team Leaders.
  • Possesses a helpful, diplomatic, and caring attitude to all; must be hospitable and have good people skills to represent TTI.

The noise level in the work environment is usually low to moderate.

While performing the duties of this position the Team Member:

  • Is required to work in our main office in Raleigh, NC and/or remotely as needed as defined by the COO and Human Resource Manager.
  • Is occasionally required to work nights and weekends as needed and may be occasionally required to travel domestically and internationally.
  • Is regularly required to talk or hear.
  • Will need to use hands or fingers and handle or feel objects, tools, or controls.
  • Is occasionally required to stand, walk, sit, and reach with hands and arms.
  • Must occasionally lift and/or move up to 25 pounds.
