Administrative Assistant – International Operations

The Administrative Assistant is responsible for providing administrative support for the International Operations Team. This position is responsible for providing excellent administrative assistance to the EA to the International Operations Director and the International Operations team. This individual will represent the division in a personable manner by demonstrating flexibility, resourcefulness and a professional attitude.

Essential Duties and Responsibilities:

The essential functions include, but are not limited to, the following:

International Operations Administration

To help the International Operations Team maximize the effectiveness of International Operations. The International Operations Administrative Assistant helps the members of the International Operations be 100% present, positive and productive in every encounter by preparing, executing, and following up on decisions and processes connected to duties within the International Operations. Admin responsibilities include:

  • Shipping and mailing
  • Meeting & calendar coordination
  • Data entry & verification
  • Expense reports and reimbursements submission for department

Travel and Logistics Coordination

Work with team members to make travel arrangements, both domestic and international, including air, hotel, ground transportation and meal reservations as directed. Work with team members to handle international visa/passport applications. Ensures correct documentation for travel requests and reimbursements for International Operations team as requested.

  • Passport & Visa applications for International Operations Director
  • Administrative logistics & follow-up for international leadership meetings and vision trips
  • Assist with the organization of regional leadership summits, including coordinating schedules, room and board, travel and transportation, and meeting materials.

Partner Communications & Event Administration

  • CRM (DonorPerfect) data entry: adding contacts, event management for International Operations Director, updating email and physical addresses as directed
  • Run monthly giving report
  • Assist with partner communication, media and event preparations for yearly March with Us event

Education and Experience:

  • Bachelor degree required, 1-3 years similar work experience preferred.
  • Previous experience with fundraising/donor interaction preferred.
  • Experience in the usage of computers required and advanced knowledge of web-based systems preferred.
  • Previous experience with cross-cultural communication and interaction

  • Able to prioritize and multi-task, using good time management skills in a fast-paced environment; Strong organizational skills a must.
  • Outstanding interpersonal skills, including the ability to work both in groups and individually to meet goals and to develop strong working relationships with internal staff and external constituents.
  • Develop effective work plans, organize details, set priorities, and meet deadlines.
  • Solid written and oral communication skills. Accountable for supporting, upholding, and engaging in TTI’s Vision, Values & Mission in all internal and external communication and relationships.
  • Administrative writing, reporting & tracking skills.
  • Proficiency with spreadsheets, databases, and Word processing.
  • Ability to adapt to company wage and compensation structure.
  • Ability to work as part of a team.
  • Possesses a helpful, diplomatic, and caring attitude to all.
  • Must be hospitable and have good people skills to represent TTI.

While performing the duties of this position the Team Member:

  • Required to work in our main office in Raleigh, NC and/or remotely as needed as defined by the CEO and Human Resource Manager.
  • Occasionally required to work nights and weekends as needed
  • Occasionally required to travel domestically and internationally.
  • Is regularly required to speak or hear.
  • Will need to use hands or fingers and handle or feel objects, tools, or controls.
  • Occasionally required to stand, walk, sit, and reach with hands and arms.
  • Must occasionally lift and/or move up to 25 pounds.
